All about forms: for thesis students and supervisors

Applications

Prospective students should initially consult the Programme Postgraduate Co-ordinator in the programme in which they wish to take their degree. S/he is best placed to assist with information and with lining up potential supervisors.

Domestic students who are able to find appropriate supervision for their topic should then fill out an application form in consultation with the Programme Postgraduate Coordinator. The student should obtain the Head of Programme's initials on the form and take it to Jennifer Middendorf, the HUMS postgraduate administrator.

The information is given to the HOS for his signature (this task is currently delegated to the Interim Associate Head, Patrick Evans). The administrator takes a photocopy for the School file and posts the application to the appropriate office.

Student fills in application form > checks this with the Programme Postgraduate Co-ordinator > gives it to the Head of Programme > takes it to Postgraduate Administrator > signature of HUMS Interim Associate Head (pp HOS) > University Postgraduate Office/College of Arts Office

 

Registration of proposal

After two months for an MA or 6 months for a PhD, the student fills in their part of the form and then hands it to the senior supervisor to complete their part and to sign it.

The part of the form designated for the HOD/HOS to fill in is best filled out by the Programme Co-ordinator, who should then initial this section, and forward it to the Postgraduate Administrator.

Student fills in registration form > hands it to the senior supervisor > who gives it to the Programme Co-ordinator > who forwards it to the Postgraduate Administrator > signature of HUMS Interim Associate Head (pp HOS) > University Postgraduate Office/College Office


If the deadline lapses, the Postgraduate Office will contact the supervisor and HUMS Interim Associate Head as the student will be at risk to having their studies terminated.

NB: If the Programme Co-ordinator is the supervisor, the form should instead be initialled by the Programme Postgraduate Co-ordinator.

Progress reports

Students are alerted by the Registry/College of Arts when their progress report is due.

The student fills in the form and hands it to their senior supervisor to consult with the other supervisor(s) and fill in. The student then comments on the supervisors' comments and the form is then forwarded to the Programme Co-ordinator for their information and then it is sent to the Postgraduate Administrator.

Change of supervisors

This is another form that requires the HUMS Postgraduate Co-ordinator's (pp HOS) signature. The matter is most appropriately handled at the programme level and so the Head of Programme should initial the form before forwarding it to Postgraduate Administrator.

If any of the supervisors come from outside the School, the EFTs split must be arranged before forwarding the form to Postgraduate Administrator. The HUMS Postgraduate Co-ordinator is happy to assist with any negotiations on this matter. The EFTs split does not simply register the division of labour but also the division of resources (office space, non-contestable money from the School, etc). The general division between schools is 70% for the School resourcing the student; 30% for the other School. The completion money then comes back to the School according to that division.

NB Those Heads who are not all their Programme Postgraduate Co-ordinator may wish to delegate this task to their Programme Postgraduate Co-ordinator.

Examination

NB While MA thesis applications, registration of proposals and progress reports are handled by the College Office, the examination process is handled by the Postgraduate Office.

Supervisors arrange for the appointment of examiners and, in the case of PhD, select the chair for the oral examination. This form requires the HUMS Postgraduate Co-ordinator pp HOS signature.

The supervisor sends in a contextual report for the Masters or doctoral thesis to the Postgraduate Office.

MA examiners' reports are sent by the Postgraduate Office to the HUMS Postgraduate Co-ordinator. These are then sent to the Programme Postgraduate Co-ordinator . In the case of Masters students where there is a difference in the final grade awarded by the examiners, the HUMS Postgraduate Co-ordinator, following consultation with the relevant Programme Postgraduate Co-ordinator, will ask the internal examiner to consult with the external to arrive at an agreed final grade. The HUMS Postgraduate Co-ordinator will inform the Programme Postgraduate Co-ordinator of the outcome . If it is not possible for the examiners to agree, an adjudicator external to UC will be appointed by the Dean of Postgraduate Studies, in consultation with the programme. The Postgraduate Office notifies the student directly when s/he is awarded the degree and sends the HUMS Postgraduate Co-ordinator and the relevant Programme Postgraduate Co-ordinator a copy. The Postgraduate Office does not have a list of the Masters supervisors so the Programme Postgraduate Co-ordinator will then forward it to the supervisors and arrangements can be made for the thesis to be deposited in the library and any revisions that need to be made.

PhD examiners' reports are sent to the Chair of the oral examination, who organizes the exam and arranges for the final joint examination report to be completed and sent to the Postgraduate Office. There is no involvement by the HUMS Postgraduate Co-ordinator.

For MFAs in Creative Writing, there is an oral examination. As for PhD candidates, the final examination report has to be submitted to the Postgraduate Office. The report is then forwarded to the Dean for his/her signature.

NB The HOS and the HUMS Postgraduate Co-ordinator cannot sign forms relating to their own students.

Please note that these processes for handling postgraduate forms within the School enable us to keep track of forms, to have a central place for filing copies of forms, and to build up our own database of postgraduate students.
